TERMS AND CONDITIONS OF SALE
By submitting your details via a contact form, you give permission for Pyrenees Cycling Club to contact you regarding our cycling holidays, accommodation offerings and other marketing relating to our business. We will never sell or pass on your information to third parties.
We reserve the right to block and report any spam, phishing or scam messages that are sent via our contact forms.
All information contained in this website is correct at the time of writing and Pyrenees Cycling Club reserves the right to change the content at any time.
Routes and tour details
Route information provided in your tour brochure & other marketing material is indicative and represents our best suggestion for your group. We may need to modify this based on climatic conditions, other safety related factors/unexpected siutations . You will be fully notified of any changes to an itinerary.
Booking Information
Please note that flights, health and personal insurance are not included in your holiday package and we strongly recommend taking out your own travel insurance. If Pyrenees Cycling Club is unable to deliver any part of your holiday promised by us, an alternative arrangement will be offered. If this is not suitable, a full refund will be offered. We cannot accept responsibility for any cancellations that arise due to flight cancellations or changes, changes in your personal circumstances or due to illness on your part, of any member of your party.
If we are unable to deliver your holiday, we will aim to postpone it to a later date, with your agreement. If this is not possible and the holiday is cancelled, a full refund of any deposits will be paid. We will not be liable to reimburse the cost of flights or any other travel arrangements you have made.
COVID-19 Policy
If you are unable to travel due to COVID-19 restrictions, our preference would be to postpone your booking to an alternative date. Currently, we are delaying the payment of booking deposits to closer to arrival date to avoid the risk of refund due to the uncertain and fast-changing nature of such restrictions.
Payments and deposits
Scheduled tours
A 500€ deposit per person is required to confirm your booking and reserve your dates. The remaining balance of the 'tour cost' is due 60 days before your arrival
Custom tours
If we have created a custom or bespoke tour for you, payment and deposit conditions will be set out in the tour brochure and shared with you. These payment terms are often influenced by external service providers like hotels or transport companies.
Cancellation policy
If you cancel your tour, you will be liable fo pay charges as follows;
61-90 days before tour start. Cancellation fee is 25% of the tour cost
31-60 days before tour start. Cancellation fee is 50% of the tour cost
0-30 days before tour start. Cancellation fee is 75% of the tour cost
Bike hire
Bicycles and equipment hired on a rental agreement remain the property of Pyrenees Cycling Club. The rented bicycle can only be used by the person that is indicated in the rental contract. The hirer is obliged to take good care of the bicycle taking all precautions necessary to protect the bike from damages, loss or robbery. At the end of the rental period a representative of Pyrenees Cycling Club will determine the condition of the rented equipment and if necessary, evaluate any losses or damages occurred. Pyrenees Cycling Club does not accept liability for any bike failures that occur while the bike is in your possession.
Liability in case of accident: The hirer must have coverage through their own accident and/or liability insurance. You should carry insurance and identification documents while riding. Pyrenees Cycling Club is not liable in any accident for damage to the customer or caused to third parties. Helmet use is mandatory. It’s the hirer's responsibility to use the helmet. Non-compliance can affect any claims in case of accident. In cases of emergency and accidents the police number is 112. It is always advisable to have a mobile phone with you.
Civil Responsability and Limitations: Pyrenees Cycling Club is not responsible for any fines or penalties that may result from the breaking of any traffic laws and rules. The customer is obliged to obey the traffic laws including stopping at Stop signs and stopping at traffic lights. The hirer is responsible for all damages that occur whether to himself or anyone else within the rental period. Pyrenees Cycling Club is not liable for claims of injury or damages caused to themselves, to others and / or their property. If a bike is damaged or stolen whilst in your possession, a police report must be filed and you will be liable for costs incurred in repairing or replacing the bike.
Travel insurance
It is imperative that you have adequate travel insurance for your trip, including health insurance.
